The Belgrave Hotel Tenby Limited - Terms & Conditions.
The following booking conditions together with the general information contained in publicity material and on the website form the basis of your contract with The Belgrave Hotel Tenby Limited. Please read them carefully as they set out our respective rights and obligations. In these Booking Conditions, “you” and “your” means all persons named on the booking (including anyone who is added or substituted at a later date). “we”, “us” and “our” means The Belgrave Hotel Tenby Limited.
Making your booking: You may either book online (where available), in person or by telephone on 01834 842377. We take every reasonable care and act with professional diligence with all the information displayed on our website & in the booking confirmation. Unless we’ve failed to do so, or have been negligent, we can’t be held responsible for any errors, interruptions, or missing bits of information. Of course, we’ll do everything we can to correct/fix them as soon as we become aware of them. Obvious errors and obvious misprints are not binding. For example: if you book a night in any of our rooms that was mistakenly offered for £1, your booking will be cancelled and we will refund anything you have paid.
Your contract: A binding contract between you and the Belgrave Hotel Tenby Limited comes into existence when you complete your booking and any monies have been paid, such as a deposit. The general terms and conditions of the hotel, in addition to these conditions, will be applicable to the contract. British Law will apply to our agreement and to any dispute or claim which arises between us out of it. Any such dispute or claim must be dealt with by the Courts of England and Wales. You may however, choose the law and jurisdiction of Scotland or Northern Ireland if you wish to do so. Changes to these Booking Conditions or the General Information shown in our website will only be valid if agreed by us in writing.
The person making the booking (“the party leader”) must be at least 18 years of age. The party leader is responsible for this booking both morally, contractually and monetarily, so not only any bill will be your responsibility but any loss of earnings or physical damages or misbehaviour by you or any of your party will be your responsibility. We do not accept group bookings in the Belgrave Hotel for the purpose of: e.g. Stag/Hen parties or similar.
We will confirm your booking by issuing a confirmation by email or post. This will be sent to the party leader. Please check this carefully as soon as you receive it. Contact us immediately if any information which appears on the confirmation, or any other document appears to be incorrect or incomplete.
Payments: At the point of confirmation our tariffs requires a deposit equal to 25% of the stay.
A payment will be taken via the credit or debit card provided by the party leader. (The card details will be held in accordance with all rules & regulations until seven days after checkout to allow for if any compensation due to damage)
Full payment will be charged minus deposit 2 days before day of arrival. Any bills etc charged to your room during your stay will automatically be charged to your card the evening prior to checkout in the morning, unless otherwise agreed.
Cancellations: All bookings that fall outside of 3 days before the day of arrival will have a 24 hour full refund period.
Conditions of cancellation & refunds will depend on the tariff accepted by yourself, where you booked and the amount of time before you were due to arrive. So the sooner you know you will be cancelling your stay the better.
Refundable tariffs: If we receive notification of your cancellation in writing up to 14 days before arrival we will issue a full refund of any monies paid. 14 days to 3 days before your day of arrival then we are able to hold the deposit and move the dates to another sutible date for you. Please remember we will take the full amount less a deposit automatically 2 days prior to your day of arrival.
Depending on the reason for cancellation, it is sometimes possible to reclaim these cancellation charges (less any applicable excess) under the terms of certain insurance policies. If you have purchased such an insurance policy and this applies to you, claims must be made directly to the insurance company concerned.
The hotel has the right to cancel your reservation if the payment conditions are not met. We will send you a cancellation confirmation via email immediately after cancelling your booking.
The cost of your arrangements: The prices of unsold rooms and tarrifs may be increased or decreased at any time. The price of your chosen arrangements will be confirmed at the time of booking.
Changes by you: Should you wish to make any changes to your confirmed booking, you must notify us in writing or contact us on 01834 842377 as soon as possible. Whilst we will try to assist you we regret amendment requests cannot always be met. Where an amendment can be made, any costs incurred by ourselves and any costs or charges incurred or imposed by us will be payable.
Please remember to pay particular attention to the number of people you have booked for, both adults and Children. If you have booked a room for two adults then that is what we the hotel and you the party leader have agreed to. Changes to that without prior agreement may result in a breach of this agreement and the cancellation of our services.
Changes by us: If there is a change to your booking we will pass on the new details to you as soon as possible.
Force majeure: Except where otherwise expressly stated in these booking conditions, we regret we cannot accept liability or pay any compensation where the performance or prompt performance of our contractual obligations is prevented or affected by or you otherwise suffer any damage or loss as a result of “force majeure”. In these Booking Conditions, “force majeure” means any event which we could not, even with all due care, foresee or avoid. Such events may include war or threat of war, riot, civil strife, terrorist activity or actual threatened terrorist activity, industrial dispute, natural or nuclear disaster, adverse weather conditions, fire and all similar events outside our control.
Complaints and problems: In the event that you have any reason to complain or experience any problems with your break whilst away, you must immediately inform us. Any verbal notification must be followed up in in writing to the hotel’s general manager (Mr Thomas) within 28 days of the end of your stay giving your booking reference and full details of your complaint.
Behaviour: When you book with us, you accept responsibility for any damage or loss caused by you or any member of your party. Full payment for any such damage or loss must be paid direct at the time to the hotel. Smoking is totally prohibited in all the hotel. This includes guest rooms, yes even the bathroom with the extractor fan on, corridors, bars and lavatories. Anyone found smoking in a guest room will be asked to leave. There is a significant room recovery fee for guests who do not comply in order to cover the extensive cost of restoring guest rooms to a smoke-free condition. The Belgrave Hotel reserve the right at any time to terminate your stay or that of any member of your party due to misconduct, where justified in their reasonable opinion. No refunds will be given. Furthermore, the Belgrave Hotel Tenby Limited shall be under no obligation whatsoever to pay compensation or meet any costs or expenses you may incur as a result of your stay being terminated.
Special requests and medical problems: If you have any special request, you must advise us at the time of booking. Although we will endeavour to pass any reasonable requests on to the relevant department, we regret that we cannot guarantee any request will be met unless we have written to you with specific confirmation that it will. Confirmation that a special request has been noted by us or the inclusion of the special request on your confirmation invoice or any other documentation is not confirmation that the request will be met. We regret we cannot accept any conditional bookings, i.e. any booking which is specified to be conditional on the fulfilment of a particular request. All such bookings will be treated as “standard” bookings subject to the above provisions on special requests. If you or any member of your party has any medical problem or disability which may affect your booking, please tell us before you confirm your booking so that we can advise as to the suitability of the chosen arrangements. In any event, you must give full details in writing at the time of booking. If we reasonably feel unable to properly accommodate the particular needs of the person concerned, we must reserve the right to decline your reservation or, if full details are not given at the time of booking, cancel the booking when we become aware of these details. We do therefore strongly recommend you check with hotel directly before booking to ensure the hotel can meet all your requirements.
Assistant dogs are welcome at The Belgrave Hotel, but please make us aware of your requirements at the time of booking.
Travel documents: You are responsible for having all proper travel documents and vouchers. If you are unable to travel or complete a stay by reason of not having proper documents you will not be entitled to any refund and we will not be liable for any cost or expense that you may incur as a result.
Hotel information: Our photographs are intended to give you a general impression of the hotel. Variations occur from room to room. We may have to redecorate or refurbish when you are visiting, which may mean the temporary closure of public rooms or facilities.
Meals: Breakfast & Evening meals are available but must be pre-booked with reception.
If you have any special dietary requirements please let us know in advance, but note we cannot guarantee that we can satisfy your request.
Rooms & facilities: Rooms may be twin or double. A double bed may consist of twins pushed or joined together. Rooms may be allocated in any part of the property (including annexes, new extensions). Please note that rooms sleeping three/four persons may offer any combination of single, double and foldaway beds. We do have specific single rooms and these are likely to be small. On the other hand, we may allocate a twin or double for use as a ‘single’ room. A single room supplement may be payable, and this will be advised to you before booking.
All rooms are Non-smoking bedrooms.
Check-in: On arrival, your room is normally available after 2pm, but cannot be guaranteed. If you plan to arrive after 6pm please advise us directly by calling 01834 842377. Failure to confirm late arrival with the hotel may result in your room being resold, and our cancellation terms will apply.
Car parking: You will find limited free parking at the hotel, parking is on a first come first served basis.
Lift: Our lift goes to half landings only so there are steps to and from the lift. Luggage assistance is available on request.
